FAQs

For Congress attendees

How do I access I-CEPS presentations after the Congress?
All activities and posters will be available on demand for all attendees until 18 September on the Congress portal. Use your personalised login link to access the portal. Go into the Auditorium and in the Lobby you can search for the presentation by date and time. You can also refer to the abstract book for details on the presentations.

Where can I find the program for my local time zone?
On the program webpage you will find a table with a number of time zones listed. Click the link to the time zone closest to your local time zone and the program will download. You might like to use this time zone converter

Can I test the Congress virtual event portal?
You will be able to explore the site once you have received your personal log-in link which will be emailed to you prior to the Congress. After logging in, there will be a microphone and camera test prompt.

How will I engage with presenters during the Congress?
Presenters will be online during at least one of their presentation sessions, and there will be Q&A and discussion forums active for you to engage with the presenter/s. Some sessions will also have live polls for attendees to engage with and see the results live. If the presenter is not online during the session you attend, they will be notified via email of your question.

What platforms can I use to attend?
You will not need to download anything to participate. Google Chrome is the preferred browser to access the virtual Congress platform. There is an app available for joining the Congress on a mobile device.

How will I network at the Congress?
There will be a virtual meeting hub where attendees can search for other attendees and presenters, regardless of their time zone, and request meetings or engage in virtual chat conversations on the spot. The meeting hub will be available before, during and after sessions. There will also be a private social network called EventStream where participants can post photos, videos and comments exclusively with other Congress attendees.

How do I view posters?
You can visit the virtual poster hall in the Congress platform.  There, you will be able to view all the I-CEPS 2023 posters, and watch short presentations from their authors.

Can I post on my social media channels?
You are welcome to share all the insights, inspirations and learnings you gain from attending the Congress. Remember to include the hashtag #ICEPS2023 so we can see and share your posts.

What is the refund and cancellation policy?
Registration and Masterclass ticket cancellations received by 6 June 2023 will be accepted and fees refunded. Cancellations received after this date cannot be accepted and will not be refunded, however transfer of your registration or ticket to another person is acceptable. The full name and details of the person that will replace you must be advised in writing before the Congress. No refunds will be made for non-attendance at the Congress.

For presenters

What time do I need to log on, to do live Q&As in other time zone regions?
The easiest way to figure this out is to look at the program from another time zone region (available here: i-ceps.pafra.org/program), find your presentation, and then use an online time zone converter to figure out what that time converts to for your local time zone. For instance, if you want to see when your session will be live for people in the “Europe and Africa” region, you can search for your presentation in the UTC+2 program.  If you see you’re on at 1pm on 7 June, then insert “1pm, 7th June” and “UTC+2” into the converter, plus the city you’ll be in when you’re presenting, and it will give you the time in your local time zone. This converter is recommended: dateful.com/time-zone-converter.

Where can I find the program for my local time zone?
On the program webpage you will find a table with a number of time zones listed. Click the link to the time zone closest to your local time zone and the program will download. You might like to use this time zone converter.

Reach out to our Congress team at i-ceps@pafra.org.

What if I need technical support relating to my presentation?
Get in touch with our Virtual Event Team for any technical support, request or advice at icepssupport@eventsair.com.

The Live Support button appears like this:

How do I log in to the Congress platform for my presentation?
The login details and instructions will be sent to you by email in the days leading up to the event.

When should I log in for my presentation?
Log in and join your session/s 15 minutes prior to your session commencement time using Google Chrome as your browser. Once you have logged in, select your session from the agenda and then click on the ‘Join Green Room’ button. If you are seeing a white screen instead of your camera feed, click on Settings, and ensure both a camera and microphone are selected.

How will I connect and network with other attendees during my presentation?
Presenters are expected to attend their presentation live in at least one time zone. You will be able to join the Virtual Event Studio online during the live session of your presentation. The Virtual Event Studio will give you access to a live Q&A and discussion forum during your session.

I am a co-author, how do I attend the live session?
A guide document has been emailed to co-authors. You are encouraged to join the live Congress presentation you are involved in, but you are not required to join.
